When planning a hybrid event, connectivity and logistics are top priorities.
This case study looks at how Eventurous managed and organized a hybrid meeting solution for Palletline, the UK’s leading palletised distribution specialists. Our objective was to seamlessly connect both live and remote delegates via a bespoke streaming portal to ensure maximum engagement and participation.
When moving the event online, we had to cover three main steps: Designing a fully personalized streaming portal for approximately 100 unique remote attendees, creating interaction in a hybrid environment, and the technical set-up.
As locally based participants were still allowed to attend in person, Palletline requested a hybrid format as opposed to fully virtual. To accommodate those logging in remotely, our technical specialists created a bespoke online portal that could stream both live and pre-recorded footage throughout the duration of the conference. This portal was designed with all the necessary functionalities one would expect and more.

The conference was held in The Charter Suite at Moor Hall Hotel, a 4* country hotel in Sutton Coldfield. A spacious, self-contained conference room, The Charter Suite provided plenty of space for the AV set-up and was conveniently located close to the main entrance and registration area. Combined with the venue’s excellent digital infrastructure, this allowed both on-site and online participants to seamlessly connect and engage.
Advanced audio equipment and two large projector screens were installed the day prior to the event. This provided enough time to do a full run through of the complete program, enabling plenty of time to ensure everything ran correctly and worked with the venues systems and layout.
